An Outlook Scheduling Poll alternative for people outside your organisation

Scheduling Poll is built into Outlook and reads everyone's calendar, as long as everyone is in your Microsoft 365. Clients, candidates and parents are not. They sign in or type a code to vote, and their availability shows as unknown. Kitokoto is one link that anyone can answer.

How it works

    Type them or tap them on a calendar. We never read your calendar, so check the times work for you first.

    Into the email you were already writing. Nobody signs in, nobody types a code, and it works the same for a colleague, a client or a parent.

    You see who can do what and choose. The same link then shows the date, the place and who is coming, and everyone adds it to their own calendar, Outlook included.

Built for one organisation, used across several

Scheduling Poll assumes everyone is in the same Microsoft 365. An assistant booking her exec with three external clients, a recruiter with a panel and two candidates, a school admin with parents: half the people are outside. Kitokoto does not know or care where anyone works. One link, one list, and when you decide the same link tells everyone when and where.

Outlook Scheduling Poll gives you this, and stops. The rest is yours to do by hand.

Questions

Can people outside my organisation vote on an Outlook Scheduling Poll?
They get a link to a web page and either sign in with a work or school account or enter a code sent to their email. Their availability is not read, and some have been redirected to an Outlook inbox instead. With Kitokoto they open the link and tap.
What happened to FindTime?
Microsoft replaced the FindTime add-in with Scheduling Poll, built into Outlook. If you searched for FindTime, this is where it went.
Does Kitokoto connect to my Outlook calendar?
No. It never reads anyone's calendar. You type the times you could do, exactly as you would in an email. When you decide, everyone gets an invitation they can add to Outlook.
Can I use it with a personal Outlook.com account?
Yes. Kitokoto has no accounts at all. Scheduling Poll needs a Microsoft 365 work or school mailbox.
Does it work for interview scheduling?
Yes. Put in the slots, send the link to the panel and the candidates, and everyone marks what they can do. Switch it to only you seeing the answers if the candidates should not see each other.
Can I keep the answers private?
Yes, free. Switch it and only you see who picked what.
Does it handle time zones?
Yes. A time you write in London shows in New York as the New York time. Or fix it to one clock.
What about Doodle?
Doodle's free plan is one group poll, ten time slots and ads shown to the people you invite. Doodle and Kitokoto, side by side.
How long do you keep it?
Three months after the meeting, then it is deleted, names and answers with it.
