Collecting the answers
On paper. Hand out the printable with the sign-up, collect them in a box, and after the draw put each one in an envelope with the person’s name for their Secret Santa.

Send it with the sign-up
Ask for the answers when people join, not after the draw. It saves chasing later.
Give a deadline
Ask for answers a few days before you draw names, and draw on the day you said.

Only the organiser and the right Secret Santa should see each one.
